Are you a Payroll Specialist looking for a great work/life balance and the ability to contribute to a positive team atmosphere?  This may be your dream role!  The Applied Companies is seeking a Payroll Specialist for an internal position in the heart of Reno.  The Payroll Specialist will be responsible to process payroll for clients and worksite employees within the PEO division. This position also manages the new hire onboarding for all clients and other necessary administrative functions for the PEO. 

Examples of what the Payroll Specialist may do:

  • Enters and maintains employee information in Prism HR (HRIS)
  • Manages and maintains HR systems including, but not limited to: Prism HR, benefit enrollment, E-Verify, background checks, drug tests, 401k, WOTC, time keeping
  •  Manages internal electronic filing system
  • Maintains, organizes and updates all New Hire Applications, New Hire Info forms, PAFs and other electronic forms for all clients
  • Completes E-Verify process for every new hire. Confirms eligibility for employment documents are unexpired and follows up with clients for identification documents when required
  • Runs background checks for new hires when applicable and manages background check process.  Sets up new client’s background check packages. Confirms with client when background checks are complete and escalates to HR if red flags arise 
  • Follows up on drug test results for new hires when applicable
  • Audits all background check and drug screen invoices and bill the clients in Prism
  • Responsible for keeping up to date: PEO Client List, benefit wait period list, other documents as assigned
  • Runs reports and communicates monthly benefit eligibility to clients and employees 
  • Communicates monthly 401k eligibility to clients and employees
  • Enters New Hires into Time Clock Plus; removes employees from Time Clock Plus when employee terminates
  • Complete payroll functions including but not limited to: time sheets, hours, tax changes, wage garnishments, deductions, direct deposits, benefit adjustments and refunds, various other input, etc.
  • Reviews, verifies and enters payroll data in a timely manner
  • Issues reports and processes payroll checks for distribution
  • Responds to routine inquiries concerning payroll, garnishments, verifications, etc., as well as required state reporting forms
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues
  • Demonstrated ability to ask clarifying questions to gain complete understanding of situations 
  • Assists HR Business Partners with all projects as assigned
  • Perform other duties as assigned.

What the Payroll & Administrative Specialist needs to have:

  • Minimum of 1 year Payroll experience
  • Strong Microsoft Office skills
  • Organizational skills with the ability to handle multiple projects while managing workflow and priorities
  • Excellent oral and written communication skills with the ability to communicate and deal effectively with a diverse group of individuals
  • Aptitude to learn and manage multiple information systems with excellent data entry accuracy
  • Strong interpersonal skills with flexibility and the willingness to take on projects as needed with enthusiasm while being committed to high standards
  • Exhibits excellent customer service skills
